1099 totals for drivers
Paste a year of weekly pays and see each driver’s total and who needs a 1099-NEC this year.
Paste the year’s pays
One payment per line: the driver’s name and the amount, a date if you have it. Copy it straight out of a spreadsheet or a checkbook register; commas, tabs and dollar signs are fine.
1099-NEC line for 2026: $2,000.00

How this works
Each line is read for a name and an amount. The amount is the last number on the line, so “Mike Carter 812.40” and “1/6/2026, Mike Carter, $812.40” read the same, and a date anywhere on the line is ignored. Names are matched without regard to capitals or extra spaces, so “mike carter” and “Mike Carter” are one driver. A negative or a number in parentheses takes money off, the way a bookkeeper writes a correction.
The totals are compared with the 1099-NEC threshold for the tax year you pick: $600 through 2025, $2,000 from 2026. A driver at or over the line gets a “Yes”. That is the whole tool. It doesn’t know whether a line was pay for work or a receipt paid back, so if you kept those separate all year, paste only the pay.
What to do in January
- Total each contract driver’s year — this page, or the year-end page in whatever you keep the books in.
- For each driver at or over the threshold, file a 1099-NEC with the IRS and give the driver Copy B by January 31. You need their legal name, address and taxpayer ID, which is what the W-9 you collected when they started is for.
- Keep the weekly pay sheets. If a number is ever questioned, the sheet with the loads on it is the answer.
Not tax advice. This adds up what you paste and compares it with the published threshold. Whether a driver is properly a contractor rather than an employee, and what belongs on the form, are questions for whoever does your taxes — and cheaper to ask before the year than after.

Questions
Do I have to send my truck driver a 1099?
If the driver is paid as an independent contractor (not on a W-2) and you paid them at least the year’s threshold, you file a 1099-NEC with the IRS and give the driver a copy by January 31. The threshold is $600 for tax years through 2025 and $2,000 starting with tax year 2026.
What changed about the 1099 threshold?
The 2025 tax law raised the 1099-NEC and 1099-MISC reporting threshold from $600 to $2,000 beginning with payments made in 2026, with the figure indexed for inflation in later years. Payments made in 2025 are still reported at $600.
Do reimbursements count toward the 1099 total?
Sometimes. Money paid back against receipts under an accountable plan is generally not reportable; a flat allowance with no receipts generally is. Keep the paid-back lines separate from pay for work all year and ask whoever does your taxes which way yours falls.
What if I paid a driver in cash?
Cash is pay. It counts toward the total the same as a check or a transfer, and the 1099 rules are the same. The hard part is only proving it later, which is what a weekly pay sheet is for.
Is this tax advice?
No. It adds up numbers and compares them to the published threshold. Whether a driver is properly a contractor, and what belongs on the form, are questions for a tax professional.
